Booking software all promises the same thing: the client books themselves, and you get a confirmed appointment without a phone call. But very different products hide behind that promise — from a simple reminder app to a full system with a team calendar, a client database and payments. These criteria apply the same way to any business that works by appointment, so there's no reason to judge a product by marketing claims instead of checking the real thing. Here are 12 points worth checking before you create an account.

How is booking software different from a regular calendar?

A calendar app only shows events to you — the client still has to call or message to agree on a time, and you still enter the appointment by hand. A CRM stores contacts and deal history, but it usually doesn't let a client pick an open slot on their own either. 1. Is there a booking page that works around the clock

2. Does the client see only genuinely open slots

If the system shows time that's actually taken, or ignores the buffer between sessions, double bookings become inevitable. Open slots should account for buffers automatically.

3. Can the client reschedule or cancel on their own

Without this, every change means another call or message. A link in the confirmation email that lets the client manage their own appointment takes this off your plate.

4. Do reminders go to the client automatically

5. Does one calendar show the whole team

If every staff member uses a separate tool, the front desk ends up cross-checking several sources. Check the calendar — can you see every specialist, their hours and their breaks in one place.

6. Is there a client profile with visit history

Who came in, when, what was done, what to suggest next time — this should accumulate on its own, not live in the receptionist's memory.

7. Does it support more than one location in one account

If you already have, or are planning, a second location, check whether that means a separate account with separate billing, or one system with multiple addresses, each with its own hours, services and staff.

8. Can clients pay online when they book

Paying upfront means fewer no-shows and less cash handling. Check which services can take online payment and whether the slot is held while the payment is processing.

9. Is there analytics on revenue and workload

Without numbers it's hard to tell which days are slow and which services actually make money. Analytics should run on the same data as the calendar, with no separate export into spreadsheets.

10. Can the booking page look like your brand

A page with someone else's logo or random colors looks rented, not owned. Check whether the website and booking page support branding — color, logo, font.

11. Does the price grow with every new staff member
