How we read your files

We import what we know. We flag what we don't.

Every file is handled differently. When we're confident, we import it. When we're not, we show you exactly what needs attention instead of guessing.

Read exactly

Spreadsheets and exports

CSV and Excel files are read column by column. We recognise the structure of common export formats, so contacts, prices, dates, and other data are placed in the right fields automatically.

Read with AI

PDFs and photos

PDFs, screenshots, and photos are processed with AI and added to the same preview. Anything recognised by AI is clearly marked, so you can review it before importing.

Read by a person

Anything unclear

If something can't be read reliably, we won't guess. Instead, our team reviews it at no extra cost, and you'll see the result in the same import preview.

We never make up missing data. The preview shows exactly what will be imported, and every import can be undone with a single click for the next seven days.

What can't be transferred

There are just two things that can't be moved. It's better to know about them before you get started.

Saved card details
Saved payment cards can't be transferred between booking systems because payment providers don't allow it. Clients simply add their card again the next time they pay online. Everything else stays the same.
Gift cards, memberships, and inventory
These aren't supported yet. You can continue using them in your current system for now, or let us know what you have and we'll help you plan the transition.

Questions we hear all the time

Is this legal?
Yes. Your client list, prices, and booking data belong to your business. Exporting them and moving them to another provider is a standard, lawful process. You export the data yourself — we never access your old system. We also provide a standard Data Processing Agreement and privacy policy wording if you need it.
Will my clients receive any emails?
No. Importing data doesn't send emails, SMS messages, or notifications. Imported clients are also excluded from reminders and marketing campaigns until you choose otherwise. You decide when — and if — to let them know you've moved.
What file types are supported?
Almost anything. CSV and Excel exports are imported directly, PDFs and photos are processed with AI, and if something still can't be read, our team reviews it for free. There's no need to reformat or clean up your files first.
I have multiple locations.
Import each location separately into its own Appointer location. If the same client appears again, we'll match them instead of creating a duplicate.
Can I undo an import?
Yes. Every import can be undone with a single click for seven days. Anything that has already been used — for example, a new booking — will be preserved, so you won't lose live data.
How much does it cost?
Nothing. Importing is included with every plan, including Free. That covers self-service imports, AI processing for PDFs and photos, and migrations handled by our team. It doesn't use any of your plan credits.
